What we process and why

When you visit, the systems delivering and protecting the website may process your IP address, browser and device information, the pages requested, and the date and time of access. This is necessary to deliver the site, maintain its security and investigate technical faults. The legal basis is our legitimate interest in operating and protecting the website (GDPR Article 6(1)(f)).

If you email us, we process the name, contact details and message you provide to answer your enquiry and, where relevant, discuss a collaboration. Depending on your request, the legal basis is steps taken at your request before an agreement (Article 6(1)(b)) or our legitimate interest in handling communications (Article 6(1)(f)). Contacting us does not subscribe you to marketing.

If you apply to volunteer through our linked Google Form, we use the details you choose to provide, such as your contact information, interests, skills and availability, to review your application, contact you and coordinate possible festival activities. The legal basis is our legitimate interest in organising the volunteer programme and responding to your application (Article 6(1)(f)). The information requested by the form is needed to assess and arrange participation; you can choose not to apply. It is not used to subscribe you to marketing.

Your language preference and acknowledgement of the cookie notice are stored only in your browser. See the cookie policy. The website has no application form, account, newsletter, analytics or advertising tracker.

Recipients and external services

Authorised team members and providers of hosting, security and email services may access data only as needed for their roles. Volunteer applications are collected through Google Forms; Google also processes data under its service terms and privacy information. Film submissions take place on FilmFreeway, under that platform’s own privacy information. Instagram and LinkedIn are linked, not embedded.

Retention and international transfers

Technical records are retained for the periods needed to operate and protect the hosting service, according to the provider’s security and operational settings. Messages are kept for the time needed to handle the request and, if a relationship follows, for its management and any legal obligations. You may ask us for further details.

Volunteer applications are retained while the first edition’s selection and activities are being organised, then deleted when no longer needed for those purposes, unless a legal obligation requires longer retention. You may ask us about the applicable period or request deletion.

Service providers may process data outside the European Economic Area. Where this occurs, applicable adequacy decisions or GDPR transfer safeguards must be used; you may request information about the relevant safeguards at the contact address above.

Your rights

You may request access, correction, erasure or restriction, object to processing based on legitimate interests and, where applicable, request portability. Write to info@ct4h.org. You may also complain to the Italian Data Protection Authority. We do not make automated decisions with legal or similarly significant effects on visitors.

Updates

We will update this notice if the website’s functions or data processing change, with a revised date above.
